Paying for Automated Outreach to Construction Project Managers: Apollo, Instantly, HubSpot or Builtie, and How to Start

Which service to pay for depends on whether you already have the list. If you have the names and need the sending, a general sales engagement tool such as Apollo, Instantly or HubSpot Sales Hub runs email sequences to the contacts you upload or find in its database, and each publishes its plans and lets you start online. If you sell a trade to general contractors and builders and the hard part is knowing which project manager is on which live job, Builtie is built for that: it finds permitted projects in your trade's award window, names the builder or GC and the decision maker there (the project manager where one can be identified), and on its Growth plan, $99 per seat per month (CAD), runs LinkedIn and email outreach in your name. You can start a 7-day free trial at builtie.com/signup.
Who you are actually trying to reach
On a commercial job, the subcontract for your trade is usually awarded by the general contractor's project manager or estimator on that project, not by the head office. At a small builder it is the owner. That person is rarely named on the permit, rarely listed on the company website, and almost never reachable through a general enquiries address. A message lands when it names their project and arrives while your trade is still being bought; the same message a month after the award is a reference, not an opportunity. How to find construction project manager contacts covers who decides what on a project.
So outreach automation for this buyer has two halves: the list (which project managers are on which live jobs, and when) and the sending (sequences that go out under your name and stop when someone replies). Most tools sold as outreach automation do the second half very well and leave the first to you.

Why a list of project managers is not enough
Search any contact database for "project manager" at general contractors in your city and you get hundreds of people with no project attached. The sequence that follows has nothing specific to say, so it says what every other subcontractor says. Three things make outreach to this buyer work, and a general tool supplies none of them on its own:
- The project. A named job, its address and its stage give the first message a reason to exist.
- The timing. Each trade is bought in a window. Electrical and plumbing close around 55% of the way through the build, drywall around 70%, flooring around 80%. See when to contact each trade.
- The right person, still in the job. In Builtie's own checks, 17% of people matched to a construction company by name alone worked somewhere else. Builtie matches the person on the employer they declare and corroborates name, company and location before storing them; see how contact data is verified.
If you already have a clean list of active GCs and the projects they are running, a general sequencer is a reasonable buy. If you do not, the list is the product you are paying for, and the sending is the easy part.
How to start a paid Builtie account
- Go to builtie.com/signup and confirm your email.
- Tell us your trade.
- Set your target audience: who you sell to, what kind of projects, and where.
- Choose Growth if you want the outreach (Starter has none), and add a card. The 7-day trial with 10 projects starts now, and nothing is charged until it ends.
- Open projects from your feed, connect the LinkedIn and email accounts the messages should come from, and set up a campaign. Messages go out under your name; replies come back to you.

Builtie saves about two hours of prospecting a day, around 60 hours a month, because the finding, the matching and the follow-ups no longer happen by hand. For the sequence itself, see a construction sales outreach sequence; for the whole process, how to automate construction sales.
If you would rather not run it yourself
On Custom, Builtie's team runs the outreach for you, in your name, on LinkedIn, Instagram and email. It is quoted after a call because it is scoped to your territory and trade. See done for you, or book a 30-minute discovery call and we will pull live projects for your trade and city on the call.
What to check before you pay for any outreach tool
- Whose name it sends under. Outreach to a project manager should come from you, from your own accounts, not a shared sender.
- Where the contacts come from, and how they are checked. Ask what happens when a person has changed employers.
- Whether it knows why to write now. A project and a stage are a reason; a job title is not.
- Channels. Some buyers answer LinkedIn, others email; check the tool can do both if you want both.
- Contract terms. Monthly or annual, and how you cancel. Builtie bills monthly.
Frequently asked questions
What service automates lead outreach to construction project managers?
General tools such as Apollo, Instantly and HubSpot Sales Hub automate email sequences to contacts you upload or find in their databases. Builtie is built for trade contractors: it finds permitted projects in your trade's award window, names the builder or GC and a decision maker there, and on the Growth plan runs LinkedIn and email outreach to them in your name.
Can I start a paid account online without a demo?
Yes. Builtie sells online at builtie.com/signup: choose your trade, target audience and plan, add a card, and a 7-day trial with 10 projects starts; nothing is charged until it ends. Apollo, Instantly and HubSpot also publish their plans and let you start online.
Which Builtie plan includes the outreach?
Growth, at $99 per seat per month in Canadian dollars, includes 50 projects a month and LinkedIn and email outreach that you run. Starter, at $79, has 20 projects and no outreach. Custom, where Builtie's team runs the outreach for you, is quoted after a discovery call.
Is there an app that tracks construction projects and runs the outreach too?
Builtie does both for new work: it tracks permitted projects by build stage and, on Growth, runs LinkedIn and email outreach to the decision maker. Project management apps such as Buildertrend and Procore manage jobs you already have and the leads that come to you; they do not find new projects or the people behind them.
Does Builtie only work in Toronto?
No. Builtie covers the United States and Canada. The Greater Toronto Area is its founding market and has the deepest data; how much a city yields depends on what that municipality publishes, so ask for live sample projects in your own city before you buy.
